How to Send a Postcards Email Template with Outlook Live (One-Click Integration)
This guide walks you through how to design an email in Postcards, export it seamlessly to Outlook Live, and send it to your audience, making it easy to bring your design from concept to inbox in just a few clicks.
Prerequisites
- A Postcards account.
- An Outlook (Microsoft) account you use on Outlook Live (outlook.live.com)
- A finished Postcards template ready to export
Step-by-Step
1) Create (or open) your template in Postcards
- Open Postcards and create a new template (or open an existing one).
- Customize content, images, and modules as needed.
When you export, choose the option to Host images online. This ensures your images load correctly when your email is opened from Outlook Live.
2) Export → Integrations
- Click Export in the top-right of Postcards.
- Choose Integrations from the export menu. You’ll see a pop-up with the one-click integrations list.
3) Choose Outlook Live
- In the integrations pop-up, select Outlook Web.
- A Microsoft sign-in/consent window will open. Sign in with the Microsoft account you use for Outlook Live. Review the requested permissions and click Accept to authorize so Postcards can deliver the template into your account.
- Export complete → Open it in Outlook Live
- After connecting, Postcards finishes the export and shows a confirmation with a shortcut link to open Outlook Live and confirm your template is there.
- After clicking Open in Outlook, you’ll be taken directly to your Outlook Live Drafts folder, where your exported email will appear as a ready-to-send draft. From there, you can review the message, make any final edits, add recipients, and send it right away.
5) Prepare and send
- Add To, Subject, and any personalized intro you need.
- Send yourself a test first to confirm rendering.
- Send to your recipients.
If you ever decide not to use the one-click export, the recommended alternative for Outlook on the web is our Insert HTML by Designmodo add-in. It’s optimized for Outlook web and often yields fewer inconsistencies than the desktop client.
Frequently Asked
- Can I still insert HTML manually if I prefer?
Yes. The Insert HTML by Designmodo add-in for Outlook on the web lets you paste clean HTML into a compose window, handy when you’re not using the one-click export.
- Do I need any special setup to use the Outlook Live integration?
No special setup is required; you just need to be signed in to your Microsoft account. When you choose Export → Outlook Live in Postcards, your browser will prompt you to grant permission the first time. After that, your templates will send directly to your Outlook compose window. If you manage multiple Outlook or Microsoft 365 accounts, make sure you’re signed into the correct one before exporting to avoid sending the template to the wrong mailbox.
- Why does my email look different in Outlook than in other clients?
Outlook uses the Microsoft Word rendering engine, which means it interprets HTML and CSS differently from most other email clients. If you run into stubborn Outlook issues, consider reading about Outlook-specific best practices and testing before sending. You can also Export as Image for critical sections or the entire design.
- Do background images and custom fonts work in Outlook Live?
Outlook Live supports more modern CSS than the desktop app, but it still has some limitations and rendering quirks. Background images may not display consistently, and web fonts are often replaced with system defaults. You may also notice spacing or alignment differences compared to how your email appears in Gmail.
For best results, use solid background colors instead of image fills, and stick to standard system fonts like Arial, Verdana, or Georgia to maintain visual consistency across clients.
