Invite a Teammate
A teammate is an additional person who can help you create or enhance your newsletter project.
They can be given different roles:
- Editor – Can edit the project and manage images.
- Viewer – Can view the project but cannot make changes.
- Owner – Has full control, transferring ownership means you lose access.
Ways to Invite a Teammate
There are three ways to send an invitation:
- From the Main Menu – On the left side of the main menu, just above “Image Library,” click Invite a Teammate.
- From your Profile Menu – Click your avatar (either from the main menu or inside a project) and choose the Team link in the popup. This will redirect you to the “Invite a Teammate” tab where you can enter their email address.
- Using the “+” Icon – In the main menu near your avatar, click the round icon with a plus sign. This will open the same invitation tab.
In addition to the above methods, there is one more option:
Invite with URL – You’ll see a light-green box with the invite link, which you can copy and share. Clicking the rounded arrows icon will regenerate a new link, which is useful if the current link needs to be invalidated for security reasons.
Invitation Process
When you send an invite, the teammate’s status will appear as Pending until they confirm via email.
If you invited someone by mistake, click the three dots on the right side of the page and select Delete.
Important: Once the person accepts, their account is merged with yours.
- Any projects they previously had under that email will no longer be accessible until they are removed from your team.
- For a cleaner workflow, it’s recommended to invite people using an email address not already registered with Postcards.
Pricing and Limits
We offer three predefined plans: Start, Plus, and Pro - each with its own editor seat limits:
- Start - Unlimited editors included for free.
- Plus - 1 free editor included.
- Pro - 3 free editors included.
Any additional editor seats beyond the included amount cost $8/month per seat.
The Start plan is designed for open collaboration without restrictions, making it ideal for small or casual projects. Paid plans, however, focus on higher-performance work environments, where additional editors may require more server resources, real-time synchronization, and advanced collaboration features - hence the limits on free seats.
Role Changes
After confirmation, you can change their role at any time:
- Editor – Can work with both images and the project itself.
- Viewer – Can only see the project results.
- Owner – Full control of the project and account assets.
If you make them the owner, you lose all access to the project and will only have the role they assign you afterward.
This is ideal when handing over work to a client.
Working with Teammates Inside a Project
Once a new editor joins and accepts the invitation, and is inside the project, you will see their avatar on the top-right corner of the project thumbnail in the main dashboard.
Inside the project:
The editor’s avatar will appear in the top dark bar, with a colored border. Each editor is assigned a unique color for easy identification.
Clicking an avatar will instantly show that editor’s current actions.
Note: If an editor is currently working on a text block, you will not be able to edit that specific text until they are done - this prevents accidental overwrites.
