Image Library
The Image Library is your personal storage space for managing all your uploaded visuals.
It’s designed to make your email building process smoother by allowing you to upload once and reuse images across multiple projects.
What you can do in the Image Library
Upload Images
Add your own images to use whenever you need - no need to re-upload the same asset. Supports most common formats including PNG, JPG, and WebP (which is auto-converted to PNG or JPG for best compatibility).
Organize with Folders & Favorites
Keep things tidy by:
- Creating folders to group related images
- Starring images as favorites for quick access
Track Usage
See where a specific image is currently used
Spot unattached images (ones that aren’t used anywhere - helpful for cleanup)
Delete & Restore
You can delete any image when it’s no longer needed
Accidentally deleted one?
No worries - you can restore it within 90 days, after 90 days, it will be permanently removed.
How to find the Image Library
Once you’re signed in to Postcards, follow these steps:
- Look at the left-hand side of the screen - you’ll see the main navigation menu.
- Just above the “Chat with Us” section, you’ll find “Image Library”.
- Click on it - this will open the Image Library popup, where you can view, upload, organize and manage your images.
How to Upload Images to the Library
When you open the Image Library, you have several easy ways to upload your images:
- Click the Green Upload Button
Just hit the “Upload image” green button and select the files directly from your computer.
- Drag & Drop
Simply drag images from your desktop or file explorer and drop them into the Image Library window.
- Copy & Paste
Copy any image from your computer or browser (Cmd + C on Mac / Ctrl + C on Windows)
And paste it, use the keyboard shortcut: Cmd + V on Mac / Ctrl + V on Windows
The image will automatically upload and appear in your library.
Tip: You can upload multiple images at once with any of these methods for faster content preparation.
Important Note on Uploads:
No matter which upload method you use - whether by clicking the green Upload Image button, drag & drop, or copy-paste - if the uploaded image has the same name as an existing one in your image library, a popup will appear.
You’ll be asked to choose between:
- Keep both – the new file will be saved with a slightly modified name (e.g. image(1).png)
- Replace existing – the new image will overwrite the existing one everywhere it’s used
This helps avoid accidental replacements and gives full control over managing duplicates.
Filter & Organize
To make managing your assets easier, the Image Library includes filters and view options to quickly find what you need:
Sort By - choose how images are sorted in the list:
- Date Added
Helps you find recent uploads or older ones fast. You’ll notice two small arrows next to each filter name:
- ↑ Up Arrow = Latest images appear first (newest on top)
- ↓ Down Arrow = Oldest images will appear first
- Name
Sorts images alphabetically. It takes into account:
- Numerical names first (01, 100, etc.)
- Then Latin-based alphabets (e.g., English, German)
- Then other scripts or language systems
- Size
Based on image dimensions (width × height):
- Arrow up = Largest images first
- Arrow down = Smallest images first
- Weight
Refers to file size (KB/MB):
- Sorts from heaviest to lightest or vice versa
- Added By
If you work in a team, this lets you sort by who uploaded the image - alphabetically by coworker name.
Media Type Filter - easily narrow down by image type:
- All Media
- JPG
- PNG
- GIF
- SVG
View Modes
Grid View (default):
- Great for visually browsing through image thumbnails.
List View:
- A compact layout showing image names, dimensions, size, and more – ideal for bulk management.
Search
If your image library is large, scrolling endlessly isn’t efficient - that’s where Search comes in handy.
Just start typing the name of your image, and the list will narrow down in real time to match your keyword.
If you want to reset the search results, simply:
- Press X on the right side of the search field, or
- Press Backspace to erase your search term manually
Once cleared, the full list of images will be displayed again.
Image Settings Options
When hovering over an image in the Image Library, you’ll see a round button with a three-dot icon on the right side of the image title. Clicking it will open a menu with several options:
- Rename
- Favorite
- Used in...
- Edit Image
- Replace Image
- Create JPG
- Download
- Remove
1. Rename
Give the image a custom name for easier identification. You can even use emojis (😍) if you want a personal touch.
Press Enter once you are happy with the new name.
2. Favorite
Mark the image as a favorite to quickly access it later via the Favorites section. A heart icon will appear in the top-right corner of the image.
To remove it from favorites, simply click the same “Favorite” option from the three-dot menu - it will toggle off.

3. Used in...
See where the image is currently used.
If it hasn’t been used yet, you’ll see a message like “This image is not used anywhere”
4. Edit Image
Opens a zoomed-in preview with editing tools for enhancing the image. Useful for quick tweaks or closer inspection.
5. Replace Image
Replaces the current image in all projects where it’s used. This is a quick way to update visuals without manual re-insertion.
The replaced version will stay in the library under a renamed format like image_name(old).format.
6. Create JPG
Converts heavier PNG or SVG files to a lighter JPG format. Ideal for optimizing your newsletters to load faster.
7. Download
Saves the image to your device. Great if you need to reuse it offline or in other tools.
8. Remove
Deletes the image from your main library. However, it will be moved to the Deleted section where it can still be recovered within 90 days before permanent deletion.
Important:
If the image is still used in any project, it cannot be permanently deleted. It must first be either:
- Replaced in Presets and Custom Modules where it’s used
- Or the entire project using it must be permanently deleted
Image Library - Menu Options
You’ll find various menu options that help streamline your workflow: from sorting and favoriting images, to managing folders, checking where images are used, and even recovering deleted files. Whether you’re dealing with icons, product visuals, or brand assets, these tools make sure your image management stays clean, efficient, and easy to navigate.
a. Recently Uploaded
The Recently Uploaded section is essentially the main view of your image library.
It displays:
- All new uploads
- The entire image collection, regardless of how many folders you’ve created
Even if an image is organized into a folder, it will still appear here - so you always have a complete overview of your assets in one place.
b. Favorites
The Favorites menu shows all images you’ve marked with a heart - your most-used or most-loved ones.
From here, you can access the same image settings as in the main gallery, including the option to unfavorite an image if it’s no longer needed in your quick access list.
c. New Image Folder...
Pressing the “New Image Folder” allows you to create custom folders - perfect for organizing images by type (e.g. Icons, Products, Brand Assets, etc.).
Just enter a folder name and press Enter to save it.
Right-click on a folder gives you options to:
- Rename
- Delete
Deleting a folder only removes the folder itself - images remain in your library, accessible under the Recently Uploaded section.
d. Unattached
Unattached shows all images that are not currently used in any project.
This is great for identifying unused images that can be safely deleted or are still waiting to be assigned.
e. Deleted
Deleted holds all images you’ve removed, storing them for up to 90 days.
After that, they are permanently erased from your library.
You also have the option to manually clear everything immediately by clicking “remove all images now” - use this carefully.
Bulk Image Selection and Management
Managing multiple images at once is simple and flexible, thanks to the bulk selection options available in the Image Library. There are two primary ways to select multiple images:
- Click and Drag – Click anywhere in the image library and drag your mouse to create a light blue selection box. This will allow you to quickly highlight a group of images, ideal for mass actions.
- Shift+Click – Click on a specific image, then hold down the Shift key and click another image to select it. This method is useful when selecting specific images.
Once multiple images are selected, the usual single-image options are replaced with a new batch action menu, accessible via the three-dots button. The available actions include:
Rename – This will rename all selected images following a custom pattern. By default, it uses the format IMG_## (e.g., IMG_01, IMG_02, etc.). You can modify the prefix to something more specific like Product_, Icon_ or any naming convention that fits your workflow.
Favorite – Add all selected images to your Favorites section for quick access later. You can also unfavorite them in bulk.
Download – Download the entire selection in one go.
Remove – Move all selected images to the Deleted section, where they will be stored for up to 90 days before permanent deletion.
Drag-and-Drop to organize
No matter which selection method you use: click and drag or Shift+Click - once images are selected, they can be easily dragged into various sections of the menu for fast reorganization.
Here’s what you can do:
- Drag to Favorites – Instantly add all selected images to your Favorites. A heart icon will appear on each image as confirmation.
- Drag to a Folder – Move selected images into an existing folder or into a newly created one. Great for categorizing assets like icons, product shots, or brand elements.
- Drag to Deleted – Want to clean up? Just drag selected images to the Deleted section. This will remove them from the active library (but don’t worry—they’ll remain retrievable for up to 90 days).
This intuitive drag-and-drop interaction allows you to keep your image library neat and structured, without the need for multiple clicks or complex workflows.
Editing Image
You can edit any uploaded image by hovering over it or clicking the three-dot button, then selecting Edit Image. This opens the image editor in a larger view, giving you powerful and easy-to-use tools to modify visuals directly within your library.
Top Bar Controls
On the top of the editor, you’ll find:
- Green “Done Editing” button
- Image size
- Current zoom percentage and Zoom out / in buttons (except during crop mode)
- Reset edits – Revert all changes. A confirmation prompt will appear.
- Undo – Step back to your previous edit.
- Redo – Bring back the edit you just undid.
- Close Editor – Exit the editor. You can also use the Esc key.
Adjust
This section includes core tools like Crop, Rotate, and Flip.
- Crop manually: Click and drag the corners of the rectangle to select the part of the image you want to keep.
- Crop to ratio: Press the Custom dropdown to choose between presets like:
- Original
- Landscape
- Portrait
- Ellipse
Note: While cropping, the zoom function is disabled. To zoom in or out, switch to another editing tab.
- Rotate: Rotate your image by 90°, or use the slider to set custom angles.
- Flip X = mirror the image left-to-right.
- Flip Y = mirror the image top-to-bottom.
Resize
Change the physical size of the image.
- By default, the Aspect Ratio Lock is enabled (🔒). This keeps proportions consistent. Unlocking it allows free-form resizing, but may distort your image (e.g., stretched logos).
- A Reset button is available if you need to revert back to the original size.
Useful if you want to reduce file size or match image dimensions to a design block, but be cautious not to reduce quality.
Finetune
Enhance or correct image appearance with manual adjustments:
- Brightness – Lighten or darken the image.
- Contrast – Increase or decrease intensity between light and dark areas.
- HSV (Hue/Saturation/Value) – Change the overall color tone and vividness.
- Blur – Soften image details slightly.
- Warmth – Adjust the color temperature (warmer tones).
Filters
Choose from 44 predefined filters to apply unique styles with a single click.
Perfect for setting a consistent look across multiple visuals.
Finalizing Edits
Once you’re happy with the result, click the green “Done Editing” button - this will trigger a popup with three options to choose how you’d like to proceed:
- Save as Copy
The edited version will be saved as a new image, while the original remains unchanged in your library. Ideal if you want to keep both versions.
- Replace Original
All edits will be applied directly to the existing image, replacing it permanently.
- Exit Without Changes
Discard all the changes you’ve made during this editing session.
Choose the option that best fits your workflow - your edit won’t be saved until you explicitly select one.
Real Use - Image Library in Projects
When working on a project and an image is added to a block, you’ll find an Image panel on the right-hand side of the editor.
- This panel shows the currently used image, along with its name.
- Clicking on the image name will open the Image Library in a popup window.
Current Project Tab
Inside the Image Library popup, you’ll now notice a new tab called “Current Project”. This tab displays all images already used in the current project - a quick way to keep track of your assets.
You can also:
- Browse other folders or sections like Favorites, Uploaded, etc.
- Hover over any image to reveal a new button: “Insert Image”
Insert Image
Clicking Insert Image will replace the image currently in use within your block with the newly selected one - a fast and intuitive way to update visuals in real time.
This feature makes it seamless to switch or reuse assets without leaving the editor.
In addition to traditional upload methods, you can also paste images directly into the image container inside the editor using Cmd + C on Mac / Ctrl + C on Windows.
This method instantly uploads the pasted image and adds it to your Gallery under the Current Project tab, making it easy to organize and reuse immediately.
Filtering by contributor
If your workspace includes additional editors, a new tab like “Added by [editor_name]” will appear. Pressing on it will filter and show all the images uploaded by that specific editor.
